Introduction video to BMS

In this video, you will be introduced to BMS used with 3manager. Through the integration with 3manager, you will automate meter collection and low toner alerts, as well as provide real time device and customer dashboards within the ERP.

BMS Software Overview

BMS is commonly known as ERP software and provides apps for CRM, Machine Sales, Recurring Billing, Stock, Orders and Service. Importantly, it is a web application hosted in a cloud environment, all you need is a web browser and an internet connection and you can access the intuitive user interface anywhere in the world, from any device.

CRM


CRM is essential for recording and tracking your sales interactions with potential customers. Tasks for scheduling future interactions with Accounts. Activities for recording the result of those Tasks. Opportunities to track potential Deals. And Campaigns to schedule Tasks in bulk.

RECURRING BILING

 

Recurring Billing is where you and our other Customers will see a lot of value. Saving many hours in processing Invoices that generally need to be made on a monthly basis. It can handle a fixed rental cost per month, variable charges or meter based billing and is highly customisable to your businesses unique requirements.

MACHINE SALES

 

Machine Sales is where you put together a Deal (normally off the back of a CRM Opportunity). That deal is for an Asset that potentially has multiple components, you price it all and get approval from the customer.

 

Then once approved, it is an orchestration tool to manage the workflow around ordering the components from the supplier, generating the invoice for the customer, putting the machine together (as required) and getting it installed at the customer.

INVENTORY + STOCK CONTROL

ASSET SUPPLY ORDERS AND SERVICING

 

Asset Supply Orders and Servicing allows engineers go out to a customer site for machine maintenance and repair. Using physical parts and labour to complete the job. We also handle supply orders for replenishing assets that rely on consumables. Service Contracts are also taken into account when generating Jobs and Supply Orders where no Invoice would be issued to the customer.

Overview of 3manager with BMS functionality

Functionality:

Automate Meter Readings

Asset meters are automatically imported from 3Manager into BMS, ready to be applied against a Transaction for Recurring Contract Billing. This removes the need to manually input a reading or import a spreadsheet, saving time and reducing mistakes.

Automate Consumable Supplies

Toner alerts can be configured in 3Manager to flow through to BMS and generate a draft Supply Order when the toner reaches a certain level (say 20%). The supply order contains all the information required to approve and process, saving considerable time in data entry and minimising potential oversupply. It also means customers are happy to receive the toner just as they need it.

Contextual Device Information

Sales, Billing and Service users will all benefit from a real time device dashboard within their respective interfaces. Sales users can quickly ascertain the current device utilisation. Billing users can confirm meter counts and average usage. Whilst Service users can check the toner levels and network information.

Real Time Customer Dashboard

The 3Manager Customer Dashboard provides an excellent overview of the device status across all machines at the Customers sites. This real-time information can quickly assist with decision making across a number of functional areas within the ERP without having to navigate away from the Customer.

BMS Integrations

When combining Xero or Shopify with BMS, it’s also important to remember that all the software is configured for International Sales Tax and Multi-Currency, allowing for both local and international offices to be managed within a single platform.

XERO

 

We integrate with Xero for bookkeeping, accounting and payroll, creating all Invoices in BMS, sending them to the customer, then syncing to Xero to reconcile payments from your bank transactions, with outstanding invoices.

 

We also have a 3 way integration with Integrapay for managing Direct Debits and automatically reconciling those DD payments in Xero.

SHOPIFY

 

An integration with Shopify is also available for maintaining an eCommerce website and point of sale solution.

 

This allows you to manage your products, orders and inventory in a central location and manage multiple websites and retail locations across multiple Shopify sites.
